Virtual Assistant – Podcast & Creative Operations (STEM Consulting)

Lake Geneva, WI (Remote) | $20-$25/hour | 20 hours/week (9 AM-1 PM CDT, Mon-Fri), potential for full-time.

Join Cuvette Collective, a STEM consulting firm led by Vanessa Rosa, Ph.D., where we translate complex constructs (e.g., societal impact, initiative reach, customer interest) into compelling, data-driven visuals that inform decisions and drive stakeholder communications for government organizations, nonprofits, research centers, and industrial R&D departments.

We’re seeking a Virtual Assistant to offload admin and creative tasks, freeing our founder to focus on high-impact consulting and growth.

    What You’ll Do (20 hours/week, 9 AM-1 PM CDT, Mon-Fri):
  • Coordinate podcast guest outreach and scheduling for Science with Impact, including email and direct message communication, as well as calendar management.
  • Edit podcast episodes using Riverside.fm and Descript, and create and schedule social media posts via Buffer.
  • Upload podcast content to YouTube and Substack, along with show notes and Canva-designed thumbnails.
  • Triage emails, flag urgent communications, draft responses, and manage stakeholder updates.
  • Coordinate events (e.g., Science Festivals, Webinars, workshops) and manage travel logistics for over 50 contacts.
  • Handle invoicing, customer success follow-ups, and Notion database entry/dashboard updates.
  • Support basic data cleaning and entry for client projects (e.g., impact measurement frameworks and prospect databases).
    What You Bring:
  • Proven skills in admin, podcast editing (Riverside/Descript), and event coordination (50+ people).
  • Comfort with Canva, Buffer, Notion, YouTube, and Substack (Flourish a plus).
  • Detail-oriented, proactive, and adaptable to consistent workflows for a neurodiverse leader.
  • Very coachable, a curious learner, amenable to receiving and implementing concrete feedback, and with an honest and trustworthy character.
  • Strong communication for managing emails and stakeholder relationships.
  • 1-2 years’ experience as a VA or in similar admin/creative roles.

  • Increased Company Revenue: Generate 2-4 client inquiries/month via podcast and social media efforts (e.g., guest outreach, Buffer posts), contributing to ~10-20% revenue growth within 6 months.
  • Time Savings for Founder: Offload 10-15 hours/week of admin/podcast tasks, enabling focus on client delivery and prospecting (tracked via founder’s time logs).
  • Operational Efficiency: Achieve 95%+ accuracy in email triaging, invoicing, and data entry; meet weekly deadlines.
